Privacy Policy

1. Who we are

CrewClone, at crewclone.com, is operated by Crescendo Marketing ("we", "us"), based in Chattanooga, Tennessee. This policy explains how we handle information in CrewClone. Our Terms of Service also apply.

CrewClone is a business tool. Your company decides what goes into it. For content your company enters about its own people, we handle it on your company's behalf and follow your instructions.

2. What we collect

• Account details. Company name, the owner's name, email address and trade, and a password. Passwords are stored only as a salted scrypt hash, never in plain text.
• Team details. Reps' names as the owner enters them, and each rep's sign-in code.
• Your content. Brain dump answers, follow-up answers, uploaded documents (and the original files), logos and brand colors, edits, meeting slides, and the material CrewClone writes.
• Voice recordings. When you tap "Record" or "Just talk it through," the audio is sent for transcription. See section 4.
• Practice and progress. Practice conversations, grades, feedback, XP, levels, badges and when someone was last active.
• Help and feedback. Questions you ask in Help, problem reports and suggestions, and the recent error messages attached to a report (you can leave out your help chat).
• Billing. Your plan, rep count and billing status. Card details are collected and stored by Stripe, not by us. We receive a customer ID and payment status from Stripe.
• Technical data. IP address, browser type, and the times of requests and sign-ins, which we use for security, rate limiting and fixing problems.

3. How we use it

• To run CrewClone: write your material, run practice quotes, grade them, and show progress to the owner.
• To manage accounts, sign-ins, trials and billing.
• To answer support requests and fix problems.
• To keep the Service secure and prevent abuse.
• To meet legal, tax and accounting duties.

We don't sell your information. We don't use it for advertising. We don't use your content to train our own AI models.

4. AI providers and voice recordings

CrewClone uses third-party AI services to do its work:

• Anthropic receives your answers, documents, edits, practice messages and help questions to write material, play the practice homeowner, grade runs and answer help questions.
• OpenAI receives voice recordings to turn them into text.

We send them only what is needed for the task, through their business APIs. Under their current API terms, these providers do not use API data to train their models by default and keep it only for a limited time for abuse monitoring. Their own privacy policies apply to their handling.

Voice recordings. We send the audio to be transcribed and keep the text it produces. We do not store the audio file itself on our servers. A "Just talk it through" recording is saved word for word as a "Voice note" document in your company's Documents, which you can remove.

5. Who else we share it with

• Service providers that help us run CrewClone: hosting (Railway), payments (Stripe), the AI providers above, and the tools our team uses to receive support requests. They can use the information only to provide their services to us.
• Inside your company. The owner can see the team's practice runs, scores and activity. Reps see the material the owner builds and their own runs, not the owner's pages.
• Legal reasons. If the law requires it, or to protect the rights, safety or security of our users, us or others.
• Business transfers. If CrewClone is sold or merged, information may transfer to the new owner under this policy.

6. Cookies and local storage

We use one essential cookie to keep you signed in. It lasts about six months unless you sign out. Your browser's local storage keeps small preferences, such as light or dark mode. We don't use advertising or tracking cookies.

7. How long we keep it

We keep your company's content while the account exists, including after a trial ends or a subscription stops, so you can come back to it. Removing a document in the app deletes it and its original file. Earlier copies of material are kept up to the limit described in the app.

To have your company's account and content deleted, email us from the owner's email address. We will delete it within 30 days, except for records we must keep for legal, tax, billing or security reasons. Copies in backups are removed as the backups roll off.

8. Security

We protect your information with encrypted connections (HTTPS), hashed passwords, per-company access controls, rate limits on sign-in, and restricted access for our staff. Our staff look at an account only to support it or keep the Service secure. No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.

9. Your choices and rights

• Owners can view, change, download and remove content in the app.
• Reps can ask their owner to remove them, or contact us.
• You can ask us for a copy of your information, to correct it, or to delete it. Depending on where you live, you may have other rights under state privacy law. Email us and we'll respond within the time the law requires.

10. Children

CrewClone is for businesses and is not meant for anyone under 18. We don't knowingly collect information from children.

11. Where data is processed

We are based in the United States, and CrewClone and its providers process data in the United States. By using CrewClone from elsewhere, you understand your information will be handled there.

12. Changes to this policy

We may update this policy. We'll change the date at the top, and for meaningful changes we'll tell owners in the app or by email before they take effect.
